Robert Gore Family Law, with about 150 active cases open at one time used PCs as typewriters to generate paper letters. All correspondence and documents were stored in conventional files and file boxes. Some files could consume several boxes and were stored in every part of the office wherever room could be found.

In August of 2003 the decision was wade to digitize all case files. A peer-to-peer network was created and each computer in the office was connected to the network. At the heart of the network was a document server where all client folders were stored on mirrored disk drives which protect against the loss of data in the event of a disk failure. Document security is guaranteed by running daily back ups with off-site storage copies maintained automatically.

Digitizing the paper documents was a two pronged attack. All documents that arrived by mail were scanned into client folders and the documents in current case files were also scanned to create a complete working set of current files, online.

Considerable increases in productivity have been realized because client files are always available, never lost on someone's desk or misplaced in the wrong filing cabinet. When the phone rings, the client files are always and instantly available.
